Mobile food vendors

If you will be having a mobile food vendor as part of your gathering or event (eg a food truck / coffee van), please include their details in your Casual Reserve Hire Application Form. No additional fees apply.

Note: ‘Community’ Events or Hire must be open to the public at no or minimal charge. ‘Private’ or ‘Commercial’ Events or Hire are not open to the public and may be ticketed / charged.

Payment of the hire fee

Payment of the hire fee upon receipt of an invoice from the Council, and at least 14 days prior to the hire start date (unless otherwise agreed with the Council).

Additional information

When using a Council Park or Reserve under a Casual Hire Permit, please be aware of the following:

General

  • all bookings are subject to availability
  • unless otherwise arranged, the Park / Reserve will remain open to the public at all times
  • all Parks / Reserves are smoke-free areas
  • if you cancel the licence less than fourteen (14) days prior to the Start Date, the full licence fee may be forfeited
  • the Council has the discretion to cancel the licence at any time (e.g. for safety reasons or weather). In such circumstances, the fee may be refunded to the Licence Holder in full.


Facilities and access

  • Public Facilities: exclusive use is not offered for parks reserves and all public facilities (including playgrounds and barbeques) must be shared
  • Power: access to power will not be provided, licence holders or users can bring a generator, but will be responsible for the use and management of power supply
  • Vehicle Access: vehicle access on the Park/Reserve is not permitted
  • Emergency Services: site access for emergency service vehicles must be provided at all times
  • Pegging / weighting: due to irrigation systems in our Parks and Reserves, pegging into the ground is not permitted – moveable structures are to be weighted only (i.e. with sand bags, containers filled with water)
  • Waste: all waste (including fats, oil & charcoal) must be disposed off-site. We ask that you consider other park users and if you produce more general waste than can fit in the litter bins provided then you will be required to take your general waste with you and dispose of accordingly.
  • Dunstone Grove Amphitheatre – the amphitheatre is part of the St Peters Youth Centre, to hire the amphitheatre, the Youth Centre must also be available for hire. Additional fees apply.


Notification, licensing and insurance

  • notification of major events: the Permit Holder must notify adjacent residents and emergency services of the Event at least fourteen (14) days prior to the Event (note: the notification letter must be provided to the Council for approval at least one (1) month prior to the Event)
  • public liability insurance: you must provide a copy of your public liability insurance, and that of any third party suppliers (if you don’t have this insurance cover, please let us know)
  • liquor: if you plan to sell or provide liquor at the event, and you will be charging an admission fee, donation or similar, you need to obtain a liquor licence and provide a copy to the Council.
